How do I place a rental order?

Add the rentals you are considering to your cart and submit the checkout form, or send your brief through the contact page. Checkout is an inquiry only—we do not collect payment online. Our team will review availability, event requirements, delivery, and pricing before sending the agreement and payment instructions. We generally respond within one business day.

How far in advance should I reserve?

Accepted Answer

As early as possible, especially for large activations, peak dates, or branded builds. Rentals are offered on a first-come, first-served basis. An inquiry or quote does not hold inventory; your reservation is confirmed only after the required agreement and reservation payment are received.

Where do you provide rentals?

Accepted Answer

Simply Fun Interactive is Texas-based and supports events nationwide. Travel, freight, delivery windows, and order minimums are planned around the event location and scope. Share the venue address and event schedule with us early so we can build an accurate logistics plan.

Question 4

Can I change my order after it is confirmed?

Accepted Answer

Additions are welcome when inventory and production timing allow. Reductions, substitutions, or date changes are handled according to the signed agreement and may be issued as account credit rather than a refund. Contact us as soon as plans change so we can review the available options.

Question 5

How do delivery, setup, and access work?

Accepted Answer

Delivery pricing depends on the event location, rental mix, crew, and schedule. Standard setup assumes safe ground-floor access near the unloading area. Tell us about stairs, elevators, loading docks, long carries, security checks, restricted loading times, or other access requirements before confirmation; additional labor or access fees may apply.

What are your standard delivery and pickup hours?

Standard delivery and pickup windows are 7:00 AM to 8:00 PM, Monday through Sunday. Earlier or later service may be available when arranged in advance and may require an additional fee. Final timing is confirmed in the event logistics plan.

Can I pick up the rentals myself?

Accepted Answer

Some rentals are eligible for approved customer pickup, while larger, technical, or specialty pieces require Simply Fun delivery and setup. Approved pickup orders need a suitable vehicle, protective blankets, and secure tie-downs. Ask us before planning pickup so we can confirm eligibility and handling requirements.

Question 8

What should I expect on event day?

For delivered orders, our crew arrives within the confirmed window to place, assemble, test, and secure the equipment included in your order. Rentals are cleaned and inspected before use. Your team should provide venue access, an on-site contact, the agreed space and power, and any venue credentials. Equipment must be used within manufacturer, weather, safety, and venue guidelines.

Do you provide event styling?

We do not provide full-service event styling, but we can recommend a rental mix, layout direction, and brand-friendly options that work with your concept. We are also happy to coordinate requirements with your planner, designer, producer, or venue team.

Question 10

Are you insured, and can you provide a COI?

Accepted Answer

Yes. Simply Fun maintains $2 million in general liability coverage. A signed rental waiver or agreement is required, and a certificate of insurance can be provided when requested. Please send the venue's exact certificate holder and additional insured requirements at least one week before the event so there is time to process them.

Can the experience be customized with our branding?

Accepted Answer

Many rentals can support branded panels, wraps, signage, or digital artwork. After the order and reservation payment are confirmed, we will share the applicable artwork template and specifications. Your team is responsible for supplying final print-ready artwork unless another arrangement is included. Submit approved files at least one week before the event; late production may not be available.

What payment methods do you accept?

Our website checkout does not collect payment. After we confirm the order, we can arrange payment by credit or debit card, Cash App, Venmo, or Zelle and will send the appropriate instructions. Never send payment until you have received confirmation and an agreement from the Simply Fun team.

Question 13

What are the payment terms?

Accepted Answer

A signed agreement and a 50% non-refundable reservation payment are generally required to confirm the order. The remaining balance is due two weeks before the event. Orders placed within two weeks of the event generally require full payment at confirmation. Any project-specific production, travel, or venue terms will be shown in your agreement.

What is your cancellation policy?

Accepted Answer

Reservation payments are non-refundable, and late cancellations may make the full balance non-refundable because inventory, labor, travel, or custom production have already been committed. When an event qualifies for a date change or account credit, the available amount and redemption period will be confirmed in writing. The cancellation terms in your signed agreement control your order.

What kinds of experiences do you offer?

Our experiences fall into three categories. Game Experiences bring energy and friendly competition to your event, including arcade games, alley bowlers, football arcade, shuffleboard, and bumper cars. Prize & Reward Experiences let guests win something branded and memorable, including our smart claw machine, smart capsule machine, and gashapon capsule machine. Lead Capture Experiences turn engagement into data, including our interactive vending machine and photo activations.

What types of events do you work?

Corporate events, brand activations, trade shows and conferences, grand openings, employee appreciation events, holiday parties, campus events, and experiential marketing campaigns. If you want guests to stop, engage, and remember your brand, we can build the experience around that goal.

Can the equipment be branded

Accepted Answer

Yes, and this is central to how we designed our fleet. Our equipment is built on clean white bases specifically so your brand takes center stage, not ours. We can apply custom wraps, decals, digital screen content, branded prizes, and themed styling so the experience feels like an extension of your campaign rather than a rental dropped into the room.

How does lead capture work?

Our Lead Capture Experiences collect guest information as part of the interaction, for example entering contact details to unlock a prize from the interactive vending machine. After your event, we deliver the captured data to your team.

How far in advance should I book?

Accepted Answer

As early as possible. Corporate calendars cluster around the same peak weeks, especially Q4 holiday season and spring conference season, and our signature pieces book on a first-confirmed basis. That said, if your event is coming up fast, reach out anyway. We will tell you honestly what is available.

Question 20

Is there an event minimum?

Accepted Answer

Yes. Events in the greater Houston area carry a $1,000 minimum before tax and delivery. For events outside the Houston area, contact us directly and we will build a custom quote that accounts for travel and logistics.

Question 21

Do you require a deposit?

Accepted Answer

Yes. A 50% deposit is required to confirm your booking and secure your equipment for your event date. The remaining balance is due before your event.

Do your experiences come with staff?

Accepted Answer

Attendants are not automatically included with every activation. Trained attendants can be added to any experience.

Question 23

Do you handle delivery, setup, and breakdown?

Accepted Answer

Yes! For events in Texas, we provide full white glove service. Our team delivers, and installs every experience before your guests arrive, then handles complete breakdown after your event. 
For events outside Texas, we offer flexible options. Select equipment can be shipped nationwide for self-setup, and white glove service is available for out-of-town activations that meet our contract minimum. Contact us with your event details and we will recommend the right deployment for your location and budget.

Question 24

What are the space and power requirements?

Each experience has its own footprint and power needs, which we provide in your proposal and confirm during planning. Most pieces run on a standard 120V outlet, and we recommend a dedicated circuit for each powered experience so nothing shares a line with other vendors' equipment.

Question 25

Can experiences be set up outdoors?

Accepted Answer

Some can, with the right conditions. Electronic pieces like claw machines and arcade cabinets need a covered, level surface with protection from rain, direct sun, and heat.

Are you insured? Can we be added as additionally insured?

Yes, Simply Fun Interactive carries high value insurance policy. We can provide a certificate of insurance upon request.
